Administrative Assistant - Colombia

Location: Bogota, Colombia

Position: Full - time (On-site)

Work Schedule: M-F 8:00 am – 5:30 pm 

Main Objective
Assist management by handling Admin tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements.

 

Role and Responsibilities
These responsibilities include but are not limited to:

Administrative

  • Weekly/monthly follow-up to any expenses report to Colombian staff
  • Follow-up to get finalized Admin documentation
  • Receive and administer invoices of services and coordinate with external accountants Montt Colombia
  • Responsible to purchase services/products/equipment when needed
  • Filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Handle WeWork visits, including registering guests, greet and assist visitors, book rooms for business meetings when needed.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Help standardizing Admin procedures in SharePoint and announce them internally.
  • Planning meetings and taking detailed minutes
HR
  • Making sure that the new hire paperwork process is being completed, order and gets equipment on time
  • Assist in the offboarding paperwork process and return of equipment.
  • Assist in any employee’s changes of status (role, supervisor, pay, address) paperwork and update database in the HR platform Paylocity
  • Draft-up job descriptions in English, update them accordingly and get final approvals.
  • Distribute HR memos/communication.
  • Add new hires or delete former employees in HR systems and WhatsApp group.
  • Present onboarding sessions to new hires and set up onboarding sessions between new hires and supervisor
  • Monitor that all employees sign paychecks by month and appendix to their contracts.
  • File employee documentation in Paylocity and internally (SharePoint)
  • Communicate with external accountants (Montt Colombia) to get employee’s information to update HR platform.
  • Inform accountants about any payroll news before the 25th of the month.
  • Assist in setting up GPTW workshops and keep track of the action plan to maintain certification.
  • Assist in any HR project per parent company request.
  • Address employee’s concerns/requests related to workplace and working relationships.
                                                                                                                                                             
Qualifications and Education Requirements
Years of relevant experience: 0 - 2 years
Education: Associate degree/bachelor’s degree in Admin & finance, Business Admin or HR related field.
Proficient at Microsoft office suite, Internet, Office 365 apps
Conversational English level
Hands-on experience with an HRIS or HRMS
Basic knowledge of Colombian labor laws
